Bonfire Email Notifications by User Role

This is an overview of what type of email notifications each User Role within Bonfire can receive.

NOTE: For an overview of all User Roles see User Roles in Bonfire.

Organization Admin

  • Notify Reviewer Of Score Change

    A notification is sent to a Reviewer when one of their scores is changed by another user (Project Owner, Department Manager, Organization Admin). The User that made the change is also cc’d on the email.

  • Removed As Organization Role

    A notification is sent to a User when an Organization Role has been removed from that user at your organization.

  • Document Expiry

    A notification is sent every 15 days if a vendor has a document expiring within 30 days and for documents that already expired. The email includes:

    • One section for vendors: It displays the upcoming expiring documents and the already expired documents

    • One section for contracts: It displays the vendor's expiring documents and the already expired documents.

 

Department Manager

  • Agent Changed Schedule

    If the project schedule is changed by an Agent then a notification is sent to all Managers in the department that the project belongs to.

  • Notify Managers Of Non-Compliant proposals

    A notification is sent to all Department Managers in the department that a project belongs to when the submission is marked as Non-Compliant (eliminated/disqualified).

  • Notify Reviewer Of Score Change

    A notification is sent to a Reviewer when one of their scores is changed by another user (Project Owner, Department Manager, Organization Admin). The User that made the change is also cc’d on the email.

  • Removed As Department Role

    A notification is sent to a User when a Department Role has been removed from that user at your organization.

     

Department Agent

  • Notify Reviewer Of Score Change

    A notification is sent to a Reviewer when one of their scores is changed by another user (Project Owner, Department Manager, Organization Admin). The User that made the change is also cc’d on the email.

  • Removed As Department Role

    A notification is sent to a User when a Department Role has been removed from that user at your organization.

 

Project Owner

  • Notify Reviewers They Can Begin Scoring

    When an evaluation group is released, all Reviewers in that group are sent an email notifying them they can begin scoring criteria in the group. The Project Owner is cc’d on this email.

  • Remind Reviewers

    A notification is sent to all Reviewers on a project who have not completed their evaluation 5 days, 2 days, 0 days remaining before the project evaluation is due. The Project Owner is cc’d on this email.

  • Notify Owner Of Evaluated Project

    A notification is sent to the Project Owner of the project when all Reviewers have finished scoring.

  • Submission Receipt

    A receipt is sent to the Vendor when they submit to a project. The Project Owner is bcc’d on this email (unless it is a Private Project)

  • Remind Project Owner that their Project Opens Tomorrow

    A notification is sent to the Project Owner one day before a project is scheduled to open on the portal.

  • Notify Managers Of Non-Compliant Proposals

    A notification is sent to all Department Managers in the department that a project belongs to when the submission is marked as Non-Compliant (eliminated/disqualified).

  • Notify Reviewer Of Score Change

    A notification is sent to a Reviewer when one of their scores is changed by another user (Project Owner, Department Manager, Organization Admin). The User that made the change is also cc’d on the email.

  • Approval Status Change

    A notification is sent to the Project Owner whenever an Approver responds to an Approval.

  • Late Approval Notification
    This email is sent to notify an Approver that the due date for their Approval response has passed. This email is sent the morning of the first day after the Approval due date. The Project Owner is CC'd on this email.

 

Intake Requests - Organization Manager

  • New Request

    A notification is sent to all Intake Requests - Organization Managers when a new request has been submitted.

  • Approval Status Change

    A notification is sent to any Intake Request assignees whenever an Approver responds to an Approval on a particular Intake request.

  • Late Approval Notification
    This email is sent to notify an Approver that the due date for their Approval response has passed. This email is sent the morning of the first day after the Approval due date. The Intake Assignee is CC'd on this email.

Intake Requests - Requestor

  • Request Assigned

    A notification is sent to the Requestor as well as the Assigned User when a Requestor's request has been assigned. The notification includes who has been assigned to the request.

    • If the request had been previously assigned to another User, the previous User will be notified that they have been unassigned.

 

Reviewer

  • Added to a Project as a Reviewer

    This notification is sent to an individual User when assigned to a Reviewer on a project

  • Removed Reviewer from Project

    This notification is sent to an individual Reviewer when removed as a Reviewer from a project

  • Notify Reviewers They Can Begin Scoring

Advisor or Observer

  • Added to a Project as an Advisor or Observer

    This notification is sent to an individual User when assigned to an Advisor on a project

  • Removed Advisor or Observer from Project

    This notification is sent to an individual Advisor when removed as an Advisor from a project.

     

Vendor

  • Submission Receipt

    A receipt is sent to the Vendor when they submit to a project. The Project Owner is bcc’d on this email (unless it is a Private Project).

  • Document Expiry

    A notification is sent every 15 days if they have a document expiring or had expired within 30 days. 

  • Intent to Bid

    A notification is sent 5, 2 and 1 day prior to the Intent to Bid deadline for projects a vendor has interacted with.

Approver

  • Approval Request
    This notification is sent to an individual User when added as an Approver on a project.

  • Approval Due Date Reminder
    This notification is sent to an Approver 5 days before, 2 days before, and on the day the Approval is due by.
  • Late Approval Notification
    This email is sent to notify an Approver that the due date for their Approval response has passed. This email is sent the morning of the first day after the Approval due date.

 

Invited User

  • Create Account Invitation

    A notification is sent to an Invited User when invited to create an account at Bonfire. This email is also sent to the Invited User when their invitation is renewed.

     

User

  • Password Reset

    This notification is sent to an individual User upon requesting a password reset.

  • Granted a Department Role

    A notification is sent to a User when they have been granted a new Department Role at your organization.

  • Granted an Organization Role

    A notification is sent to a User when they have been granted a new Organization Role at your organization.
