Once your project is marked as Completed you will see a prompt reminding you to award a Vendor (see What happens when I mark a Project as Completed?):
This article focuses on the Public Award decision.
To award a Vendor go to the Submissions section then select the Submissions tab.
In this example below we are about to award the Vendor called Cranberry Resorts by clicking on the corresponding Actions button and selecting Award:
You will see an award proposal window populate. Here you enter an award date, value of the contract, public award statement, internal award note (not seen by Vendors), and check off if you wish for the public award statement to be public (viewable on the portal):
In the Public Award Statement field you are able to use a number of different tokens to automatically add the values found on the legend to your award statement. For example, if the award statement is written as follows:
It will be displayed to Vendors as:
If your organization has a standard message that is used to announce awards across all of your projects, this message can be automatically applied to every public award statement created in Bonfire. Please contact [email protected] to have this functionality enabled on your portal.
Note: In order to post a public award notice, you will also need to enable the Public Archives feature. Ask [email protected] for help with enabling the feature.
With this feature enabled, you will see an additional tab on the Public Portal titled Past Public Opportunities. Only public projects that are closed will be visible here. All Private and/or Invite-Only projects will remain hidden from view (see Private Projects and Invite-Only Projects).
Vendors can click into any project to check on the award notice without logging in to Bonfire. Any projects that have awarded Vendors with be identified a green tag indicating that an award has been made:
The award notice will appear near the bottom of the Project Details page. To view the public award statement, a Vendor can click on the View Award button:
When a Vendor is marked as "Awarded", the Vendor is NOT automatically notified of the award. If you'd like to notify the Vendors (either the Awarded Vendor, and the other Vendors that participated in the opportunity), then we recommend either making a Public Notice (see Public Notices) or issuing a direct message with the Q&A function (see Opportunity Q&A).
